Section 01

Who this policy applies to

This policy applies to visitors, prospective clients, couples, family representatives, guests whose details are provided for coordination, suppliers and other people who communicate with us. It covers information received through this website, telephone, WhatsApp, email, meetings and documents shared for a wedding brief. The person who gives us another individual’s details should have authority to do so and should tell that individual how the information will be used.

Information we may collect

Depending on the enquiry and agreed scope, we may collect names, telephone numbers, WhatsApp numbers, email addresses, city, wedding dates, venue details, guest counts, budgets, service preferences and messages. Planning work may also require guest lists, rooming lists, travel itineraries, dietary or accessibility requirements, invitation details, supplier contacts, approvals, contracts, invoices and payment-status information. We do not ask for more information than the planning purpose reasonably requires.

Sensitive wedding and guest information

Wedding files can reveal family relationships, religious or cultural preferences, food requirements, accessibility needs and travel arrangements. Share only information that is necessary for the relevant service. Medical details, government identifiers, financial credentials and information about children should not be sent through a general enquiry unless we have specifically requested a secure and lawful method. Where a family supplies a guest list, it remains responsible for its accuracy and for limiting the list to information needed for hospitality, transport, accommodation or communication.

Why we use personal data

We use information to respond to enquiries; understand dates, locations, functions and service requirements; prepare indicative scopes or quotations; coordinate approved venues and suppliers; maintain timelines, guest logistics and decision records; provide event-day support; address complaints; prevent misuse; maintain accounts and records; and meet legal obligations. We may use previous correspondence to maintain continuity when the same person contacts us again. We do not sell wedding or guest information.

Section 05

Consent, requests and contractual necessity

The appropriate basis depends on the activity. An enquiry is handled because the person asks us to respond. Confirmed work requires information to prepare or perform the agreed service. Some records may be retained for invoicing, taxation, dispute handling, security or other legal obligations. Optional marketing communication should be based on a clear choice and may be stopped at any time. Withdrawing consent does not invalidate processing already carried out and may affect a service that cannot operate without the requested information.

Who may receive information

Information is shared on a need-to-know basis with authorised team members and, when relevant to the approved wedding plan, venues, hotels, caterers, decorators, production teams, transport providers, artists, photographers, technology providers and other suppliers. Website enquiries may pass through hosting, form, spreadsheet, communication or security providers. Each supplier controls its own professional service and may have a separate privacy notice. We do not treat inclusion in a planning discussion as permission to use a couple’s or guest’s data for unrelated promotion.

Photographs, testimonials and portfolio use

Attendance at an event does not by itself grant Kontact Us permission to publish a person’s image, name or testimonial. Portfolio, case-study, testimonial and social-media use should be covered by a separate approval that identifies the material and intended channel. A photographer or platform may have its own terms. Requests concerning removal of content controlled by another supplier must also be directed to that supplier.

Section 08

Retention and deletion

We keep enquiry information only for a reasonable follow-up period and retain confirmed-project records for the time needed to deliver the wedding, close accounts, handle questions and meet legal or contractual requirements. Working guest lists and operational copies should be removed or restricted when no longer required. Backup copies may persist for a limited cycle and are not used for ordinary business activity. Retention may be extended where a dispute, legal hold, unpaid account or security investigation requires it.

Your requests and corrections

You may ask what personal data we hold about you, request correction or updating, withdraw an optional consent, ask for deletion where retention is no longer necessary, or raise a grievance. We may need to verify identity and clarify the relevant wedding or enquiry before acting. Security, incidents and international services

We use proportionate administrative, access-control and technical measures, but no website, messaging service or transmission method is completely secure. Avoid sending passwords, card credentials or unnecessary identity documents. Some technology or destination-wedding suppliers may process information outside the user’s state or country; the arrangement and necessary safeguards should be confirmed for the actual service. If an incident affects information under our control, we assess containment, recovery and notification duties under applicable law.

Children and policy updates

The website is intended for adults arranging wedding services. A parent or lawful guardian should control any information about a child. We may update this policy when services, technology or legal requirements change. Material changes will be reflected by the revised date, and a fresh choice will be requested where the nature of processing requires it.
