These sections explain how the policy applies to real wedding-planning, website and business activities.

Section 01

Scope and roles covered

This notice applies to job applicants, interns, employees, temporary staff, freelancers and individual contractors. It covers recruitment, onboarding, assignment, attendance, performance, payment, security and separation records. It does not promise that a vacancy exists or that an application will result in an interview, engagement or employment.

Section 02

Information collected during recruitment

We may receive a name, contact details, city, résumé, portfolio, qualifications, employment history, availability, salary expectations, interview notes, references and work authorisation information. Please do not include government identifiers, bank details, health information, family data or other sensitive material in an initial résumé unless specifically and lawfully requested. Public professional information may be reviewed when relevant to the role.

Information used during engagement

For a confirmed worker we may process identity and contact records, emergency contacts, attendance, assignments, venue access details, training, equipment, performance, leave, expenses, payment and tax information, disciplinary or grievance records, and communications required to deliver events. Some roles require travel, late-night work, crowd access or handling guest information; only details necessary to assess and manage those responsibilities should be collected.

Purposes and decision-making

Information is used to assess suitability, communicate about opportunities, verify experience, select and onboard personnel, allocate wedding assignments, manage availability and performance, make lawful payments, maintain workplace safety, investigate concerns, protect clients and guests, and comply with contractual or legal duties. Recruitment and assignment decisions should involve human review; the website does not make an automated hiring decision.

Section 05

References, checks and third parties

We seek references or role-appropriate verification only at the relevant stage and with an appropriate basis. Information may be shared with authorised managers, payroll or accounting support, technology providers, professional advisers and authorities where required. A venue or client may receive the minimum information needed for accreditation or event access. Recruitment agencies and freelance platforms may act under their own privacy terms.

Section 06

Photos, recordings and event content

Working at a wedding may place personnel in photographs or video. That operational possibility does not create unlimited permission to use an individual’s image for advertising, a testimonial or a staff profile. Intended promotional use should be explained and, where required, approved separately. Legitimate event documentation, security footage and incident evidence may be handled for a different, limited purpose.

Security and confidentiality duties

Personnel records are restricted to people who need them for recruitment or workforce administration. Workers must also protect guest lists, supplier pricing, family information, event schedules and access credentials encountered in their role. Confidential project material may not be copied to personal portfolios, social media or unrelated storage without written approval.

Section 08

Retention of unsuccessful applications

Unsuccessful application records are retained only for a reasonable recruitment, legal and record-management period. If we want to keep an applicant’s details for future opportunities beyond that period, we may request permission. A candidate may ask us not to retain the application for future consideration, subject to records that must be kept for a legitimate dispute or legal requirement.

Accuracy, access and requests

Applicants and personnel should keep their contact, availability, bank and emergency information accurate. A person may request access to relevant personal data, correction, withdrawal of an optional consent, deletion where lawful, or review of a privacy concern. Identity and the employment or application context may need to be verified before records are disclosed or changed.

Section 10

Emergency and wellbeing information

Emergency contacts, accessibility adjustments or relevant health and safety information are used only to support the individual, manage safety or meet an applicable duty. Share the minimum necessary detail with the nominated manager. Such information should not be used to make an unrelated employment decision.
